How Pitchd collects, uses and protects personal information.
Last updated
This policy explains what personal information Pitchd collects, why we collect it, who we share it with, and the choices you have. It applies to everyone who uses Pitchd — Customers booking services, Partners listing them, and visitors browsing the site.
Pitchd Holdings Pty Ltd operates an online Platform that connects Customers with event-service Partners such as food trucks, bars, entertainers and hire suppliers. In this policy, "we", "us" and "Pitchd" mean Pitchd Holdings Pty Ltd, and "you" means anyone who uses the Platform.
We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy covers the Pitchd website, our dashboards for Customers and Partners, and the emails, SMS and push notifications we send.
Partners are separate businesses. Once you are connected with a Partner through Pitchd, that Partner handles your information under its own privacy practices, which we do not control.
When you create an account we collect your name, email address and, if you provide it, your phone number. If you sign up using Google or Apple, we receive your name, email address and profile details from that provider rather than collecting them directly.
When you make or receive a booking request we collect the details you enter about the event — dates and times, location, guest numbers, the Package, selected Options and Add-ons, and any notes or messages you exchange with the other party.
If you list a business on Pitchd we collect information about that business, including its trading details, contact details, service descriptions, pricing, photographs, and verification and compliance documents. Those documents can include certificates of currency for insurance, licences, permits and food-safety registrations, and may contain personal information about business owners or staff.
Payments are processed by Stripe. Pitchd does not collect or store full card numbers. We receive limited transaction information from Stripe such as the amount, the status of the payment, and a masked reference to the payment method. Partners receiving payouts provide identity and bank details directly to Stripe under Stripe's own terms, including any date of birth Stripe requires for identity verification during Stripe Connect onboarding. Pitchd does not intentionally collect or store biometric information through the Pitchd Platform.
Like most websites, we automatically collect technical information when you visit — IP address, browser and device type, pages viewed, referring pages, and the dates and times of your visits. We also record whether notifications we send were delivered, and whether emails were opened.
We keep records of enquiries, support requests and messages you send us or send through the Platform, including the content of those messages.
We do not deliberately collect sensitive information (as defined in the Privacy Act) and ask that you do not send it to us. If you include it in a message or a document you upload, we will handle it under this policy.
We collect most personal information directly from you — when you create an account, submit a booking request, build a storefront, upload documents, or contact us.
We also collect information:
Where we have prepared a Custom Storefront for a business that has not yet joined Pitchd, we contact that business to invite it to review and claim the storefront. If you receive such an invitation and would prefer we did not hold that information, email us and we will remove it.
We use personal information to:
AI-powered systems may assist Pitchd's analysis, recommendations and Platform operations, but final trust-status and account-level enforcement decisions remain subject to human oversight.
Transactional messages — such as booking confirmations, payment receipts, security notices and compliance reminders — are part of the service and cannot be switched off while you hold an account. Other notifications can be managed in your notification settings.
The core function of Pitchd is to connect the two sides of a booking. When you submit a booking request, the relevant Partner receives your name, contact details and the details of your event. When a Partner responds, you receive their business and contact details. Do not submit a request containing information you are not comfortable sharing with that Partner.
We share personal information with the providers that run parts of our service on our behalf, under contracts that require them to protect it:
We may also disclose personal information to our professional advisers, to insurers, to a purchaser in connection with a sale or restructure of our business, and to anyone else where the law requires or permits it — including to law enforcement, regulators, or where disclosure is necessary to prevent a serious threat to life, health or safety.
We do not sell your personal information.
Several of the providers listed above are located outside Australia, or store or process data outside Australia, including in the United States and the European Union. We take reasonable steps to ensure overseas recipients handle your information consistently with the Australian Privacy Principles and applicable privacy law.
We use cookies and similar technologies to keep you signed in, remember your preferences, and understand how the Platform is used. Most browsers let you refuse or delete cookies, but some parts of Pitchd will not work correctly without them.
Our emails may contain a small tracking image that tells us whether the message was opened. See our Cookie Policy for more detail.
Where you have opted in, we may send you marketing about Pitchd and the services available on it. You can opt out at any time using the unsubscribe link in the email, by changing your notification settings, or by emailing us. Opting out of marketing does not stop transactional messages about your bookings or account.
We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. These include encryption of data in transit, access controls and row-level security on our database, restricted administrative access, and separation of payment data into Stripe's systems.
No method of transmission or storage is completely secure. You are responsible for keeping your account credentials confidential and for telling us promptly if you believe your account has been compromised.
If a data breach occurs that is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme.
We keep personal information only as long as we need it for the purposes described in this policy, or as long as the law requires. Booking, payment and tax records are generally retained for at least seven years. Where information is no longer needed and we are not required to keep it, we destroy or de-identify it.
You can view and update much of your information directly in your account settings. You may also ask us for a copy of the personal information we hold about you, or ask us to correct it, by emailing hello@pitchd.com.au.
We will respond within a reasonable period, normally within 30 days. We may need to verify your identity first. If we refuse a request, we will tell you why in writing and explain how to complain.
You can ask us to delete your account. We will delete or de-identify your information except where we are required to keep it — for example transaction records, or information needed to resolve a dispute or enforce our terms.
Pitchd is intended for use by adults. We do not knowingly collect account information directly from children. Some bookings — for example, kids' entertainers, party suppliers, or family-oriented experiences — may involve a Customer sharing limited information about children as part of the event details, such as an age range or number of children attending. This information is used only to help the Partner deliver the service and is handled under this policy like any other booking information.
If you believe we have mishandled your personal information, email hello@pitchd.com.au with the details. We will acknowledge your complaint and aim to resolve it within 30 days.
If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
We may update this policy from time to time. The current version is always available at this page, and the date it took effect is shown at the top. If we make a significant change, we will tell you by email or through the Platform.
For any privacy question or request, email hello@pitchd.com.au.
